Privacy notice

This notice explains what personal information Harmony Electrical collects, why, and what rights you have. It covers clients, people who get in touch about work, and visitors to this website.
Who is responsible for your information
Harmony Electrical is run by Pascal Charbonneau, a sole trader based in Birmingham. Pascal is the data controller for the information described here.

What information I collect
- Your name and contact details: phone number, email address and postal address.
- The address of the property where work is done, and who owns, lets or lives in it where that matters for the job.
- Details of the job: messages, notes, photos of the electrical installation, quotes, agreed prices and invoices.
- Technical records of the installation: test results, readings and electrical certificates.
- Payment records, such as when an invoice was paid. I don't store card details.
Why I use it, and the legal basis
- To quote for, carry out and invoice your work. This is necessary for our contract, or for steps you've asked me to take before one.
- To meet legal duties, such as issuing electrical certificates, notifying building control about notifiable work, and keeping financial records for HMRC.
- To keep a record of the installation at your property, so future work can be planned safely and I can respond to any query about work I've done. This is in my legitimate interests and yours.
I don't use your information for marketing, and I never sell it.
Who I share it with
- NAPIT, my competent person scheme, which registers notifiable work with building control under the Building Regulations.
- The certificate software I use to produce electrical certificates.
- Google, which provides the email and file storage for the business.
- AI service providers that help me draft quotes, invoices and messages. I only use providers that don't keep your information or use it to train their models, and I check and approve everything before it's sent.
- My accountant and HMRC, for tax purposes.
- Anyone else only where the law requires it.
Some of these providers store or process information outside the UK, for example in the United States. Where they do, the transfer is protected by UK adequacy regulations or by contract terms approved under UK data protection law.
How long I keep it
- Invoices and financial records: at least five years after the 31 January Self Assessment deadline for the tax year they belong to, as HMRC requires.
- Electrical certificates, test results and records of work: up to 15 years, because they document the safety of your installation and the work I'm responsible for.
- Enquiries that don't lead to work: up to 12 months.
How I protect it
Records are kept on a dedicated business computer and in the business's Google account, both protected by two-step verification. Backups are encrypted before they leave the computer.
Business software and Google account data
Harmony Electrical uses its own private software, Harmony backups and Harmony Hermes, which connect only to Harmony Electrical's own Google account. They don't access any client's or visitor's Google account.
- Harmony backups can only see the backup files it creates in Harmony Electrical's Google Drive, and uses them only to store and restore encrypted backups.
- Harmony Hermes reads certificates and documents in Harmony Electrical's Google Drive, saves invoices there, and creates email drafts in Harmony Electrical's Gmail for Pascal to review and send.
Harmony Electrical's use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
This website
This website doesn't use cookies, analytics or tracking, and doesn't load anything from other websites. It's hosted by Cloudflare, which processes basic technical information such as IP addresses to deliver the site and protect it from attacks.
Your rights
You have the right to ask for a copy of your information, to have it corrected, and in some cases to have it deleted, to restrict or object to how it's used, or to receive it in a portable format. To use any of these rights, contact me using the details above. I'll reply within one month.
Some records, such as invoices and certificates, may have to be kept for legal reasons even if you ask me to delete them. If so, I'll explain why.
Complaints
If you're unhappy with how I've handled your information, please tell me first so I can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
